How to Vet a Chinese Solar Supplier: QC, Certificates and Samples

Supplier vetting is the process of establishing, before money moves, that a supplier can actually produce what they have quoted, at the specification they have quoted, repeatably. It is different from due diligence on the company — a real factory with real certificates can still ship you the wrong grade. Most sourcing failures are specification failures, not fraud.

This is written from the supply side. We source from Chinese factories for a living, and the checks below are the ones we run ourselves. Publishing them means you can run them on us too, which is the point.

The single most useful filter: ask for three numbers

Marketplace price competition has pushed the supply side to remove material where buyers cannot see it. On an aluminium bracket that means extrusion wall thickness. On a panel it means cell grade and lamination. Two products photographed from the same angle can look identical and differ by an order of magnitude in strength or service life.

So stop comparing images. On any mechanical part, ask for:

  1. Wall thickness, in millimetres. Not "heavy duty" — a number.
  2. Alloy grade. For example 6063-T5 or 6005-T5. Stainless fasteners should state SUS304 or better.
  3. Load rating, in PSF or Pa, for wind uplift specifically, not just static load.

On panels and cells the equivalent three are cell type and grade, encapsulation material, and measured Vmp / Imp rather than a headline watt figure. Grading is explained in our cell grades guide, and the material comparison for brackets in aluminium bracket specifications.

Why this filter works: a supplier who cannot produce those numbers either does not know what they are selling, or does not want you to know. Both are disqualifying, and you find out in one email rather than after a container arrives. A supplier who answers precisely — including saying "our wall is 1.5 mm, if you need 2.0 mm that is a different tool and a different price" — is the one you want.

Where a light specification is fine, and where it is not

Thin-gauge and low-grade parts are not defective. They are cheap and adequate for the right job. The failure happens when they are used for work that needed a heavier grade.

The five failure patterns buyers actually report

  • Overstated power. Physics sets a ceiling on watts per square metre. A panel claiming a figure far above what its area can produce is misdescribed — check the rating against the dimensions before anything else.
  • Relabelling. A brand label over another brand's label. Ask for the cell datasheet and the bin, not a photograph of the box.
  • Undersized conductors. Cable that cannot carry the rated current, on a product whose spec sheet claims it can. Ask for conductor cross-section in mm², not "thick cable".
  • Batch drift. The first order matches the sample; the third does not. This is the most expensive pattern because it appears after you have committed.
  • Warranty that evaporates. A warranty with no written specification behind it is a sentence, not a remedy — there is nothing to measure a claim against.

The verification sequence, in order

1. Ask for the specification before the price

Reversing the normal order tells you a great deal. A supplier who sends a full specification and then a price is selling a product. One who sends a price and fills in the specification afterwards is selling whatever is cheapest that week.

2. Make the datasheet the agreement

Before production, you want a written document listing dimensions, electrical values, materials, tolerances and finish. That document is what shipped goods get inspected against. Without it, "not as described" has no baseline and no claim can be settled.

3. Make certificates SKU-specific

ISO 9001, CE and RoHS are real and worth having — but a certificate covers a scope. Ask which SKUs a scan actually covers and check the dates. A factory-level ISO certificate does not mean the item you are buying was tested to anything. For lithium-containing products shipping to the EU or US, ask for UN38.3 before you plan freight, not after.

4. Order a sample, then order a small batch

A sample proves capability. A small batch proves repeatability, which is the thing that actually fails. This is why a low MOQ is a vetting tool and not just a convenience — a supplier who will not sell you 5 or 20 pieces is a supplier you cannot test cheaply.

5. Require pre-shipment QC evidence

Photographs and video of the actual batch, before it leaves, against the specification document. Not stock images. This one request eliminates a large share of disputes because it forces someone to look at the goods while they can still be corrected.

6. Check who you are actually talking to

Factory, trading company, or agent — none of these is wrong, but they behave differently, and you should know which you have. A factory owns the process and is inflexible across categories. A sourcing partner spans categories and owns the specification and the QC rather than the machines. Ask directly; a straight answer is itself a signal.

How do I check a Chinese solar supplier is legitimate?

Legitimacy is the easy part and rarely the problem. Ask for the business licence, check the company name matches the bank account, and do a video call to the production area. The harder and more useful check is specification: ask for wall thickness in millimetres, alloy grade and load rating, and see whether precise numbers come back. Most failures are specification failures, not fraud.

Is a low MOQ a red flag?

The opposite. A low minimum order lets you test repeatability cheaply, which is the failure mode that actually costs money. A supplier insisting on 1,000 pieces before they will engage is asking you to take the risk they should be taking. Prove the design at 5 or 20, then scale.

What certificates should I ask for?

ISO 9001 for the factory's quality system, plus CE and RoHS for the market you sell into. The critical step is asking which SKUs each certificate covers and checking the dates — a factory-level certificate does not mean your specific item was tested. For anything containing lithium cells shipping to the EU or US, get UN38.3 before you book freight.

Should I buy from a factory or a trading company?

Neither is inherently better. A factory owns one process deeply and is inflexible outside it. A sourcing partner spans several supplier lines and owns the specification and QC instead of the machines, which matters when your bill of materials crosses categories. What matters is that you know which one you are dealing with, and that whoever it is takes responsibility for the specification.

How do I stop the third batch differing from the first?

Have a written specification document before the first order, and require pre-shipment inspection against it on every batch, with photos or video of the actual goods. Drift happens when there is nothing to measure against, and it is far easier to prevent than to argue about afterwards.
